About Us
The Fusion Art Group operates at the intersection of art, culture, and technology. We’re scaling internationally and hiring our first Philippines‑based Finance, GrantOps & Investor Readiness Lead to build the financial backbone that powers our growth.
We use AI and automation liberally to move faster, but you remain the accountable expert at the top—the steward of quality, control, and auditability.
How We Work (Mindset & Methods)
We learn the rules, then design smarter, leaner, AI‑assisted workflows. We automate to the max (Sheets/Airtable + AI + Zapier/Make + scripts) without losing control or quality—and we keep a clean audit trail.
You own the process. It’s an honor and a responsibility: you decide the flow, guard the numbers, and sign off.
You’re supported. You’ll have access to an expert AI & automation pod (internal/partners) to help you design and implement workflows.
If your default is the “old way” (heavy manual spreadsheets, slow hand‑offs, zero iteration), this role won’t be a fit.
What You’ll Do
Finance & Grants
- Budgets & cashflow: build project/operating budgets; maintain monthly cashflow with forecast accuracy (±10%); track commitments vs receipts.
- Grant engine: run the grant calendar (eligibility, deadlines, deliverables); prepare application budgets and financial attachments; package audit‑ready submissions.
- Cost‑allocation: maintain a cost‑allocation matrix with unique cost lines per program/country; track caps/eligibility; prevent overlaps.
- Submissions & compliance: assemble financial docs; keep audit‑ready folders per application/award; support reporting and close‑outs.
- Sponsors & crowdfunding: issue invoices/receipts; maintain a ledger for pre‑sales/crowdfunding; basic VAT/tax awareness; DSO tracking.
- Monthly close: reconcile bank/PSP (e.g., Stripe), categorize expenses, update dashboards; produce a simple monthly finance pack.
Investor Readiness (IR)
- Build a 12–18 month financial model (P&L, cashflow, runway, scenarios).
- Prepare investor materials: finance pack, KPI dashboards, and data room index (budgets, traction snapshots, policies).
- Coordinate diligence (requests list, docs packaging); track the investor funnel (angels/VCs/sponsors) with disciplined follow‑ups.
- Draft monthly investor updates (metrics, runway, highlights/risks).
- Support term‑sheet/admin with counsel (e.g., SAFE/convertible), and keep a clean cap‑table trail with tools or spreadsheets.
Multi‑country coordination
Handle currency conversions and consistent documentation when projects run across regions.
Must‑Haves
- 3+ years in finance/ops (startup, NGO, or project‑based), with examples of owning processes end‑to‑end.
- Strong Google Sheets/Excel (linked models, lookups, pivots, scenario tabs).
- Evidence of grant packaging (read calls, build budgets, assemble attachments).
- Experience with payments & invoicing (Stripe, bank portals, invoicing tools).
- Investor‑readiness exposure: supported or led at least one angel/seed fundraise (models, data room, diligence coordination, investor updates).
- Automation mindset: you design processes to be AI/automation‑assisted by default (Airtable/Sheets formulas, AI prompts, Zapier/Make, basic scripting) with clear audit trails.
- Excellent English (written/spoken); crisp documents and naming discipline.
- Confidentiality, integrity, loyalty—trusted with sensitive financial & investor data.
- Availability 0.75–1.0 FTE, able to scale to full‑time quickly.
Nice‑to‑Have
- Xero/QuickBooks; basic VAT/tax familiarity.
- Airtable/Notion/Drive structure for doc control; Looker Studio/Sheets dashboards.
- Cap‑table tools (Carta/Pulley) and working knowledge of SAFE/convertibles.
- Prior multi‑country grants/sponsors; awareness of cost eligibility, caps, non‑overlap.
- Experience preparing audit‑ready folders and lightweight policies.
